EMPLOYMENT STATUS: FULL-TIME, PERMANENT

 
JOB SUMMARY

The Sales Administrator is responsible for providing administrative support to the Sales team. They will be the second point of contact to our clients, and act as our Sales backup.

 

RESPONSIBILITIES AND DUTIES

  • Answer a high volume of calls and maintain a rapid response rate
  • Interpret instructions and issues arising, and then implement actions according to administrative policies and procedures
  • Maintain quoting processes and other administrative support of sales quotes
  • Use customer and prospect contact activities tools and systems, and update relevant information held in these systems
  • Plan and prioritize personal sales activities and customer/prospect contact towards achieving agreed business aims, including costs and sales - while managing personal time and productivity
  • Enter customer orders, track the status, and relay status to Sales team
  • Complete simple Radio Sales including Accessory Sales
  • Type and word-process various documents and electronic information
  • Create financial and statistical tools and reports using spreadsheets
  • Manage, organize, and update relevant data using database applications
  • Participate in the maintenance of the Ormandy Database by ensuring the customer information and data is current and accurate
  • Manage the product/service mix, pricing and margins according to the agreed aims
  • Complete Motorola Impact 21 submissions: Obtain Motorola Sales Reports, determine qualifying sales for Radio Sales and Accessories, and follow up on unpaid submissions
  • Complete Motorola Co-Op claims: Obtain all data pertinent to claim, Submit supporting documents/invoices/samples for claim approval, Match payments with submissions, and track all outstanding claims
  • Assist in the development of marketing materials
  • Arrange and participate in meetings, conferences, and project team activities
  • Maintain a clean and orderly workplace and showroom
  • Other related duties as required
 RELATIONSHIPS

The Sales Administrator reports directly to the Sales Manager. The incumbent also works directly with:

o   Co-workers

o   Inventory Department

o   Service Department

o   External Resources
AUTHORITY

The Sales Administrator holds the authority to do the following:

o   Identify and recommend areas for process improvement

o   Work independently with little supervision

WORKING CONDITIONS AND PHYSICAL ENVIRONMENT

The Sales Administrator will work in an office environment. They must abide by the company dress code and wear rubber gloves while cleaning. A valid class 5 driver’s license may be required to travel occasionally for job-related activities.

 

QUALIFICATIONS

 
Education

High School Diploma

 

Experience and Training

1 – 2 years of experience as an administrative assistant or an applicable combination of education & experience in marketing

Knowledge of products and services offered by Tridon Communications

 

Skills

Proficient in computer application programs such as Microsoft Office (Excel, Word, Outlook)
Excellent verbal and written communication

Excellent multi-tasking and organizational skills

Ability to work independently and as part of a team
 

Physical Demands

The Sales Administrator must be able to spend 70% of the day sitting and/or walking, 20% standing, and 10% lifting boxes up to 10lbs. The incumbent will be also required to look at a computer screen for long periods of time. There is a possibility of eye and/or joint strain related to operating computer equipment.
